How we use
your information.
This notice explains how The Board Game Café handles information you provide through this website, email, phone or WhatsApp.
Who is responsible for your information?
THE BOARD GAME CAFE LTD (company number 16480680), trading as The Board Game Café at Unit 12, The Stables, Eanam, Blackburn BB1 5BY, is the data controller for booking and enquiry information collected through this website. You can contact us at bookings@theboardgamecafe.co.uk or 07768 489048.
What information we collect
Depending on what you ask us to do, you may provide your name, email address, phone number, preferred date and time, party or group size, event details, accessibility information you choose to share, and the contents of your message.
Why we use it and our lawful basis
We use booking and enquiry information to answer your request, check availability, discuss options, prepare a booking or event proposal, and manage any resulting booking. Where you ask us to take steps before making a booking, we process the information because it is necessary to take those steps at your request. We may also rely on our legitimate interests to keep practical correspondence, prevent misuse of the website and maintain appropriate business records, and on legal obligations where records must be retained by law.
Who processes the information
The website is hosted on GitHub Pages. Website form submissions are transmitted through Web3Forms to our booking inbox. Web3Forms acts as a processor for form submissions and states that its infrastructure includes Amazon Web Services, Cloudflare and Hetzner. Its current privacy policy says submission data can be retained for up to three years unless a shorter retention period is configured or the data is deleted earlier, and that international transfers from the UK may rely on safeguards including Standard Contractual Clauses. Web3Forms also states that its spam-prevention services may process submitter IP and email information through providers such as CleanTalk and Akismet. You can read the Web3Forms Privacy Policy. Email is handled through our business email provider. If you choose WhatsApp, your message is processed through WhatsApp.
How long we keep it
We keep our own enquiry information only for as long as it is reasonably needed for the enquiry, booking, customer service, security and business-record purpose for which it was collected. Enquiries that do not lead to a booking are reviewed and deleted when no longer needed. Booking and transaction records may need to be retained for longer where accounting, tax, legal or dispute-resolution requirements apply. Separately, Web3Forms states that form-submission data may be retained on its service for up to three years unless a shorter retention setting applies or the data is deleted earlier.
Your rights
Depending on the circumstances, UK data-protection law may give you rights to access your information, correct it, ask for deletion, restrict how it is used, object to certain processing, or receive information in a portable form. You can contact us using the details above to make a request.
Complaints
If you have a concern, please contact us first so we can try to resolve it. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Form security
Our forms use a spam-trap field and are intended only for genuine booking and enquiry messages. Do not submit sensitive information that is not necessary for us to deal with your request.
